From the moment I open my eyes, my mind is already racing, thinking about centrepieces, menus, layouts, and how I can create unforgettable moments for my clients. Being an event planner isn't just a job; it's a lifestyle that blends creativity, precision, and a deep love for people and their stories.
Understanding the Vision: The Initial Client Meeting
Every event starts long before the actual day. I begin by meeting with the client to get a deep understanding of their vision. We talk about everything: the atmosphere they want to create, the colours they love, the kind of emotion they want their guests to feel when they walk into the room. It's less about logistics at this stage and more about feeling. I listen carefully, take as many notes as possible, and absorb every little detail, because those are the things that truly matter.
Once the contract is signed and I've gathered their ideas, I move into the creative zone. I prepare three customised mood boards for the client, each offering a different interpretation of their vision. This is a sensitive step. Sometimes they love one instantly, but other times, we have to refine and blend ideas until we land on something that feels just right. And that's okay, this is a collaborative process. The mood boards also come with estimated costs, because transparency is key. I want my clients to feel confident about every decision, with no surprise expenses down the road.
Designing the Layout: Bringing the Concept to Life
After everything is selected and reserved, I return to the office to design the event layout. This includes the floor plan, table arrangements, seating charts, and any custom installations we might need. Once the layout is done, I present it to the client and work closely with them to tweak and tailor the design until it's perfect. Often, layouts go through a few revisions; that's just part of the process. And honestly, it's one of the parts I love the most. Seeing a vision take shape on paper before it comes to life is incredibly satisfying.
Final Preparations: The Walk-Through and Menu Finalisation
Fifteen working days before the event, everything is locked in. No more changes. At this point, I schedule a final walk-through at the venue with the client. This is when we ensure everyone is on the same page, including the venue team, our staff, decorators, and me. During this time, we also finalise the food. Our head chef creates a bespoke menu based on the client's tastes. It could be inspired by a dish they tried in Paris years ago or a family recipe that brings back warm memories. Whatever it is, it's deeply personal and tied into the theme and palette of the event.
Finally, the event day arrives.
Orchestrating a Flawless Experience
I'm always one of the first to arrive, on my morning Uber ride armed with my checklist, schedule, and a million things to double-check. I greet the venue staff and do one last walk-through before suppliers begin arriving. From florists to lighting technicians, I work closely with each team, overseeing the setup to make sure everything is exactly how we envisioned it. No detail escapes me, whether it's the placement of a chair, the angle of a centrepiece, or the way the napkins are folded.
Roughly two hours before guests arrive, I invite the client to do their own walk-through. This moment is so important. I want them to feel relaxed and thrilled, not stressed. If anything is even slightly off, I want to know, because even the smallest detail can impact their experience. My goal is always the same: to give them peace of mind and a space that feels entirely theirs.
Behind the Scenes: Ensuring Everything Flows Smoothly
Once the event begins, I'm in the background, orchestrating everything quietly but efficiently. While my event managers handle the operations, I remain in control of the bigger picture, making sure communication is seamless and that everything flows exactly as planned. I check in with the client throughout the evening to make sure they're enjoying themselves and to reassure them that everything is under control.
At the end of the night, once the last guest leaves and the lights dim, I give my client a big hug goodbye, knowing we've created something truly special. But it doesn't end there, I always follow up the next day to make sure they're still smiling.

Yes, this job can be stressful, demanding, and fast-paced. But it's also filled with so much beauty, meaning, and joy. I pour my heart into every event because I know that for my clients, these are once-in-a-lifetime moments. And for me, that's the greatest reward, knowing I helped make their dream a reality.
